2026 Annual Meeting

Meeting date is February 9, 2026. Time is from 7 until 9 PM. Location is the North River Civic Center, 1009 Executive Drive Ste 102, Hixson, TN 37343.

Purposes of the meeting are to review 2025 income and expenses, present and approve budget for 2026, and approve Tim Gray as a member of the Board of Directors replacing Glenn McFeeters who resigned effective August 26, 2025.

PROPOSED RAMSGATE HOA LATE PAYMENT POLICY

The preferred payment method for assessments is by check or money order. If a Member chooses to pay in cash, a deposit slip for the Association’s checking account will be provided by the Treasurer so the Member can personally make the cash deposit. Board members are not responsible for handling cash assessment payments.

Assessment payments received at the annual meeting and those received by mail post-marked on or before the due date are considered on time. A $95 late fee applies to late payments received or post-marked after the due date (i.e. March 1). Continued $95 late fees will apply on the 1st of every month until the full payment is made. (Members who choose to have their banks write and mail their payments are subject to the same late date policy – regardless of when their banks withdraw the funds from their accounts to make the payment.)

To avoid late fees, a Member simply needs to notify the Treasurer/Board of financial difficulties and set up a payment plan with the Board. The payment plan may be flexible, but not so much so that the Member continues to fall further behind from year to year.

If a Member fails to fulfill the promise of his/her payment plan and has not worked in good faith with the Board, the Board may reinstate ALL late fees and interest.

If a Member skips TWO annual installments, a lien will be placed on the property. Once notification is given by the Board, late fees AND a 10% compounded APR will begin to accrue on the full balance outstanding, excluding legal fees. The interest rate may be changed from time to time at the Board’s discretion. (Once again…. if the Member notifies the Board of financial difficulties and is working in good faith to bring their account current, lien, late fees and interest will not be assessed.)

PROPOSED REAL ESTATE TRANSFER FEE

The RHA real estate transfer fee is a one-time charge imposed when a member property is bought and sold. The fee covers the administrative costs required to transfer records from seller to the buyer within the RHA’s system. It ensures that the new homeowner receives all necessary rules, regulations and financial details pertinent to the community plus keys necessary to access RHA Clubhouse and Pool facilities. This fee of $100 will be paid at closing by the buyer as part of the title company’s work to prorate the RHA annual assessment.

PROPOSED ADDITION TO TREE REMOVAL POLICY

The Ramsgate neighborhood is over thirty years old and significant tree growth has occurred. More discretion is needed to manage our trees than a strict “no removal” covenant. This proposal does not apply to front yard trees which still require approval by the ARC prior to removal.

If a tree in the back or side yard of your property is dead, diseased or leaning to such a degree that you believe if it fell, it would damage your property or cause personal harm, or cause property damage or personal harm to your neighbor, you can choose to have it removed by a professional tree removal service. No fine shall be levied by RHA regardless of the tree size.

If you believe a tree on your neighbor’s property is dead, diseased or leaning to such a degree that if it fell, it would damage your property or cause a member of your family personal harm, there limitations to what you can do other than simply let the neighbor know of your concern. That way they have at least been warned of the potential hazard which may be to your advantage later if the tree does fall and cause property damage or personal harm.

PROPOSED ADDRESS CHANGE

RHA rents a mailbox at the United Parcel Service store at 5928 Hixson Pike, next door to the Publix supermarket. The annual cost is $204. Paperless billing has reduced the need for this service – after dues assessments have been collected, we average less than three pieces of mail a month. Installing a post-mounted & locked mailbox in front of the clubhouse is proposed as a future mail drop for the RHA. The address will be 1735 Ramsgate Pkwy, effective in April 2026 which is the renewal date for our UPS box.
